Test drive events: invite prospects and fill every time slot
Test drive events work when prospects can book their own slot. AirLST takes your test drive campaign from the invitation through online booking of time slots to secure data capture, as a repeatable process for automakers, branches and dealer networks.

Test drives rarely fail for lack of interest. They fail on logistics.
If you coordinate test drives by phone and spreadsheet, you lose prospects between the inquiry and the appointment: slots get double-booked, details are incomplete and cancellations never get refilled. A digital booking process closes those gaps.
- Prospects book their own test drive appointment, around the clock, without a callback
- Capacities per slot prevent double bookings and idle cars
- All prospect data is structured and handled in line with GDPR
- A waitlist refills canceled appointments
- Attendance and no-shows are ready to analyze right after the campaign
From prospect to completed test drive
Test drive scheduling: time slots, capacities, waitlist
Prospects book their own time slot; capacities per slot and vehicle rule out double bookings, and the waitlist absorbs cancellations. All of it happens in the registration form, no phone calls needed.
Bookable time slots for rooms, vehicles and one-on-one appointments come from the Booking Calendar special configuration; the link to fleet planning comes from the Vehicle Management configuration.
How automotive teams use test drive events
- Model campaigns: a new vehicle tours your branches, and every stop has its own time slots
- Dealer event days: test drive weekends for each dealer network, see dealer events
- Launch follow-up: test drives right after a vehicle premiere
- Fleet and B2B customers: test drives for fleet managers, with company details in the form
How many vehicles need to be available and when is planned in the Vehicle Management configuration.

Test drive events: frequently asked questions
How do you organize a test drive event?
A test drive event has three parts: invite prospects, let them book a time slot online and capture their details in a structured way. AirLST combines email invitations, slot booking with capacities and one central guest list in a single platform.
How do automakers and dealers invite prospects to a test drive?
With personalized email invitations in your brand design. You can set the event up as public, so anyone with the link can book, or as invitation-only for selected contacts such as existing customers or qualified leads from your CRM.
How do you prevent double-booked test drive appointments?
With capacities. Every time slot has a fixed limit, for example one driver per vehicle and slot. Once the limit is reached, the slot closes for further bookings, so the double bookings that happen with phone scheduling cannot occur. If someone cancels, the next person on the waitlist moves up.
Can several dealerships offer their own test drive slots?
Yes. Each location or dealership gets its own time slots with its own capacity; prospects pick the location first, then the slot. The guest list shows bookings per location, and the reporting shows the no-show rate per campaign.
What data can you collect when prospects sign up for a test drive?
Standard fields such as salutation, name, company, address, email and phone, plus custom fields and comments, for example the model they want to drive. You decide per form which fields are required in event registration. AirLST is GDPR-compliant, hosts all data in Germany and is TISAX-assessed, the information security assessment standard of the automotive industry.
What is the difference between a test drive event and a ride and drive event?
A test drive event is for purchase prospects who try a model in everyday driving; the focus is lead quality and smooth scheduling. A ride and drive event is a brand experience for invited guests with a supporting program, travel details and hotel management.
