FAQ

Questions about the guest list

How do I set a guest limit or capacity for my event?

Use capacity management: set a total capacity for the event or separate allocations, for example per workshop session, side event or guest group. When an allocation is full, registration closes automatically or the waitlist takes over and moves people up as soon as seats open. See how this works for training sessions with waitlists; a practical example is ticket allocations for corporate hospitality.

What attendee information can I collect at registration?

Beyond contact details such as salutation, title, first and last name, company, department, job title, address, email and phone, you can ask for travel details (arrival and departure by plane, train or car, including flight or train number and shuttle needs), workshop sessions, side events such as an excursion or evening program, dietary requirements and free-text comments. You build each form yourself in event registration.

Are companions counted in capacity, badges and check-in?

Yes. Guests can add companions when they register; companions appear as structured entries in the guest list and count toward capacity, name badges and check-in.

Can one guest list carry over from event to event?

Yes. The guest list works as an event CRM: invitation history, attendance and preferences stay on record across events, which makes follow-up invitations more personal. Learn more about the event CRM.

FAQ

Questions about email invitations

Can invitation emails use our corporate design?

Yes. Email invitations are personalized and sent in your company's design, from the save-the-date to the invitation and the reminder. Details on the page about event invitation emails.

What does the RSVP process look like for guests?

Guests receive an invitation email and reach their personal registration page through a button in that email. There they accept or decline and fill in the registration form, single-step or multi-step depending on the event. Every response lands in the guest list automatically. More on event registration software.

Can I see who has accepted or declined while invitations are out?

Yes. Every response shows up in the guest list right away, so you always see who has accepted, who has declined and who has not replied yet, and you can follow up with the right people.

FAQ

Questions about event websites and landing pages

Do I need a developer to build an event website?

No. With the Webpage Builder you create the event website yourself, in your brand design and without coding. If you prefer, the AirLST team takes over design and build as a custom development service. More on the event website builder.

Which pages and languages can an event website have?

An event website can have several pages, for example home, agenda, hotel, FAQ and contact, and can be published in several language versions. A custom domain and a build that follows your brand guidelines are possible as well.

Should registration be open to the public or invitation-only?

Both work. With open registration anyone can sign up through the event website; with a closed invitation only invited guests get access to registration, for example through their personal invitation link. That keeps the guest list under control even for exclusive formats.
