What decides who you may invite to the suite
Four rules that apply as soon as a company invites business partners to a game or race. For each: what it means for the invitation, and where it comes from.
Entertainment is not deductible
Expenses for activities generally considered entertainment, amusement or recreation can no longer be deducted. Finance still needs to know who was invited and who came, to keep entertainment apart from other business costs.

Federal employees may accept unsolicited gifts of $20 or less per occasion, up to $50 a year from one source. A suite seat usually exceeds that, so government guests are flagged before the invitation goes out.

For foreign officials, appropriate hospitality is given openly, properly recorded in the books and records, and permitted under local law. The guest list is part of that record.

In Germany the host can pay a flat 30 percent tax on hospitality, up to 10,000 euros per recipient and year, and has to inform the recipient; empty suite seats stay out of the base. That needs a record per seat.

Security and data protection

AirLST has been assessed under TISAX, the information security standard of the automotive industry.

The platform runs on Amazon Web Services in Germany. The AWS infrastructure holds ISO/IEC 27001, SOC 2 and BSI C5; these are certifications of our hosting provider, not of AirLST.
Data hosting - GDPR and DPA
Processing follows the GDPR, with a data processing agreement; the current list of subprocessors is provided with it.
GDPR - Signed at the guest
Consents and NDAs are signed digitally and stored with the guest record; the entrance sees at the scan whether the signature is there.
Event access control
Tickets and fees are paid in the registration form through Stripe, Mollie or PayPal. Revenue goes straight to your account; card data stays with the provider.

Entertainment on the books
Since entertainment, amusement and recreation are no longer deductible (IRS Publication 463), finance teams want suite costs and guests on record separately from other business expenses. That starts with knowing who was invited, who accepted and who actually came.
An empty seat costs nothing if you can show it was empty.
Officials as guests
Federal employees may accept gifts of $20 or less per occasion and $50 a year from one source (5 CFR 2635.204); for foreign officials the FCPA resource guide expects hospitality to be open, recorded and permitted under local law (FCPA Resource Guide, PDF). In AirLST officials are flagged on the guest record; an approval step before sending is built through custom development.
Guests in Germany
For hospitality in Germany, section 37b of the German Income Tax Act allows a flat 30 percent tax paid by the host, and the Federal Fiscal Court ruled in 2023 that the individual seat counts, so empty seats stay out (BFH VI R 15/21, German PDF). AirLST records attendance per seat from check-in and the seating chart.
