Every date carries its day, location, capacity and rounds. Registrations count against the quota, full dates switch to the waitlist, and parallel rounds have their own seats. Everything is attached to the participant record.

03Registration

Course registration with dates, rounds and prerequisites

The invitation comes from your organization, and the registration link is personal. In the form, participants choose their date and rounds, confirm prerequisites and add what your series needs: department, cost center, meals. The confirmation with ticket goes out automatically.

04Waitlists

Waitlists for fully booked course dates

Cancellations always happen. Empty seats don't have to. Once a date is full, further registrations go to the waitlist; when a seat opens, the next person moves up, automatically or with one click, with their own confirmation.

05Communication

Participant communication: invitation, confirmation, reminder, follow-up

No-shows start in the inbox, not on the day of the training. Four messages per date, all from templates in your design, all triggered by the participant's status: the invitation goes to the target group, the confirmation follows registration, the reminder goes out three days before, and the follow-up with materials and a survey comes after the session.

Because every message is tied to the record, you see what each participant received and opened, and when; the reminder only goes to those who have not canceled.

06Attendance tracking

Attendance per room and round

Getting in is not the same as attending.

Someone who checked in this morning is not automatically in round 2. The code is scanned before each room; the app knows from registration who is expected here and records attendance per round.

  • Who is still missing? Expected minus present, live per room, for trainers and training admins.
  • Who gets the certificate? Attendance per round is the proof; document delivery reads it.

Registration numbers are not the whole story. Attendance per round, the no-show rate and the waitlist show which date works, which location is too small and whether the series needs another date. Event reporting delivers this per date and across the series.

What is training management software?

Training management software is software for organizing seminars, workshops and course series: creating dates with capacity, registering participants, running waitlists, keeping participants informed, tracking attendance and documenting participation. It differs from a learning platform that delivers content and from a simple booking tool that only sells seats: training management software takes each participant from the first date to the certificate and keeps the series together across all dates.

In AirLST, training management is not a separate application but the event platform configured for training series: the series is a template, each date is an event based on it, and each participant is a record with date, rounds, status and attendance.

Per participant: name and contact details, organization or department, chosen date and rounds, registration status with timestamp, waitlist position, prerequisites and additional details (cost center, meals, accessibility), payment status for paid courses, attendance per round and documents sent. Per date: day, location, capacity, rounds with rooms, trainer.

What sets training management apart from attendee management?

Attendee management is the umbrella term: everything around the participants of an event, from invitation to analysis. Training management is the special case for course series: it adds the series as a dimension. A participant does not belong to one event but to one date in a series; capacity, waitlist and attendance apply per date and per round; and the proof, the certificate, depends on attendance, not on registration. If you organize a single event, you need attendee management. If you run the same course twelve times a year, you need training management so that the twelve dates stay one series.

Questions about training management software

What is the difference between an LMS and a training management system?

A learning management system (LMS) delivers the learning itself: e-learning courses, videos, quizzes, progress through content. A training management system (TMS) runs the logistics of training: course dates, seats, registration, waitlists, reminders, attendance and proof of participation. AirLST is training management software, not an LMS; it handles everything around in-person seminars, workshops and course series and hands the results to your LMS or CRM.

Can training management software work alongside an LMS?

Yes, that is the usual setup. AirLST manages dates, registrations and attendance, and passes participation data on through Excel and CSV exports, the REST API and connectors to Salesforce and HubSpot. Your LMS keeps the content and learning paths; AirLST makes sure the right people sit in the right room.

How do I schedule multiple dates of the same course?

Each date is an event with its own date, location and capacity, and a series is created by copying a template. The copy keeps forms, email templates and fields; you change the date and room. Participants pick their date in the registration form, and the guest list shows the registration count for each date.

Do participants on the waitlist move up automatically?

Yes, if you set it up that way. When a seat opens, a workflow confirms the next person on the waitlist and sends their confirmation; alternatively, your team reviews the waitlist and confirms by hand. The order follows the registration timestamp.

How do I track attendance per session instead of only at the door?

Before each room, the participant's booking code is scanned with the check-in app. Because the round chosen at registration is stored on the record, the app knows whether the person is expected in this room and records attendance per round. Several rooms can scan in parallel on the same list.

Can certificates of completion be sent automatically?

Yes. Document delivery creates a PDF from a template for each participant who attended, with name, course and date, and a workflow sends it after check-in or after the session. People who did not attend do not receive one; their status controls that.
