The QR code on the ticket, PDF or wallet pass is the guest's booking code. The app reads it, shows name, guest group, plus-ones and notes, and marks the guest as checked in. Each code is valid once; a second scan is flagged.

Each code is valid once. A second scan shows when and where the first one happened and does not check in again.

Guests who leave can be checked out, so the head count in the room stays accurate for catering and security.

Roles at the door

The door team checks guests in and adds walk-ins but can't edit master data: roles and permissions come from the guest list.

The venue Wi-Fi is not your problem.

QR verification in the check-in app works online and offline. If the connection drops, the station keeps scanning, holds on to the check-ins and syncs them once the network is back. No line forms at the entrance just because a router froze.

Every scan is a data point: guest, time, station, plus-one. From these come attendance, no-show rate and arrivals over time by guest group, live in the cockpit during the event and afterward in event reporting. The export goes to catering, security or finance.

What is an event check-in app?

How does QR code check-in work with AirLST?

  1. Prepare. The guest list is complete and every guest has a booking code, printed as a QR code on the ticket, PDF or wallet pass. Badge templates and stations are set up.
  2. Set up stations. Install the app on an iPhone, iPad or Android device, sign in with your AirLST account, choose the event and station name, and connect a printer if you print badges.
  3. Scan. The scan shows guest, group, plus-one and notes; one tap checks them in, with time and station. Plus-ones are checked in together or separately, and the badge prints.
  4. Handle edge cases. Name search for guests without a ticket, walk-in registration, adding a plus-one, collecting a signature; a second scan of the same code is flagged.
  5. Watch it live. Cockpit and app show expected, checked in, open and walk-ins by station and guest group; if the network drops, the station keeps scanning and syncs later.
  6. Report. Attendance, no-shows and arrivals over time in event reporting, an export for catering and finance, and attendance on the contact in the event CRM.

How is a check-in app different from a paper list or a ticket scanner?

A paper list knows only one state: the moment it was printed. Morning cancellations, late additions and last-minute plus-ones are missing; two entrances have two lists; at the end someone counts check marks. A ticket scanner without a guest list only checks whether a code is valid. It doesn't know who the guest is, whether they bring a plus-one or which area they may enter.

The check-in app does both: it validates the code and knows the guest, because it is the guest list.

That's why every station sees the same state, why it can add walk-ins and print badges, and why attendance is ready after the event without extra work. It's also why check-in is hard to fake: each code is valid once, a second scan is flagged, and a code that isn't on the list is rejected. For large events with turnstiles, access control and staff, event access control adds on-site hardware and service to the app.

What is event check-in?

Event check-in is the moment a guest arrives and is confirmed as present. With a check-in app, staff scan the QR code on the ticket or search the name, the guest list marks the person as checked in with time and station, and the team sees who is there and who is still missing. What is the best check-in app for events?

How do I create a QR code for check-in?

You do not create it by hand. In AirLST every guest gets a booking code when they register, and that code is printed as a QR code on the ticket, the PDF and the wallet pass. Does the check-in app work without internet?
