Plus-one. With a record of their own.

Guests register their plus-one in the same form. The plus-one gets a separate record with a ticket, name badge and seat, and stays linked to the main guest. You decide how many plus-ones each guest group may bring.

Capacity limits apply per event, per guest group and per workshop session. The form only offers what is still available; once a session is full, the guest joins the waitlist and moves up as soon as someone cancels. Registration deadlines close the form on the cutoff date.

The registration list keeps itself up to date.

Every registration is a guest in the guest list, with each field as a column. Who has confirmed, who is waiting, who picked which session, who is vegetarian: filters instead of spreadsheets. The dashboard shows where you stand, and exports go to the hotel, caterer and shuttle service.

What is event registration software?

Event registration software is a web-based tool for collecting RSVPs: guests confirm their attendance in an online form and provide what the organizer needs for planning, such as contact details, plus-ones, workshop choices, travel, hotel and dietary needs. The software builds the form without coding, checks capacity limits and deadlines, sends the confirmation and turns the submissions into the event's registration list.

In AirLST, registration is a function of the guest list: every registration is a guest record, every field a column. How does online event registration work in AirLST?

  1. Build the form. Fields from the toolkit, required fields, conditions, help texts and languages; a separate flow per guest group if needed.
  2. Set capacity and deadlines. Seats per event, group, workshop session, hotel room and side event; a registration deadline and what happens at full capacity.
  3. Choose access. Invite-only through the invitation link or open on the event website, with or without ticket types and payment.
  4. Open registration. Guests fill in the form, choose sessions and program items, register a plus-one and pay if required; the registration becomes their record.
  5. Confirm. An email with their details, ticket, calendar file and personal link goes out right away; reminders and updates use the same template.

How is event registration software different from form tools and email replies?

RSVPs by email create work: someone reads, enters, follows up and counts. A general form tool collects answers in a structured way, but it delivers a spreadsheet that still has to be matched against the invite list, capacity, tickets and check-in; it does not know plus-ones, waitlists or personal links for changes.

Event registration software is a form that knows the guest list.

That is why capacity updates on submit, why a plus-one is a guest in their own right, why the ticket arrives with the confirmation, and why the workshop choice shows up on the scanner at check-in. And that is why there is no second list: the registration is the registration list. How much does event registration software cost?

Pricing depends on the vendor and usually on the number of attendees or events. With AirLST, registration, forms, the guest list and confirmations are part of every plan, and you can use the platform for free for up to 50 guests per event. Plans and prices are on the pricing page.

How do I create a registration form for an event?

In the form builder, you pick the fields your event needs, mark required fields and set conditions, so a field such as the flight number only shows up when a guest travels by plane. The form lives on your event website and is linked from the invitation; every submission becomes a guest in your guest list.

Can you use Google Forms for event registration?

For a small, simple sign-up, yes. A general form tool collects answers in a spreadsheet, but it does not know your guest list: no capacity limits per session, no waitlist, no plus-ones as separate attendees, no tickets and no personal link for guests to update their details. Event registration software handles those steps in the same flow.

Can attendees change or cancel their registration?

Yes. Every guest gets a personal link to view, update or cancel their registration for as long as you allow it. Changes and cancellations show up right away in the guest record and the change log, and when someone cancels, the next person on the waitlist can move up.

Can guests register a plus-one?

Yes. When a guest adds one or more plus-ones, the form opens the fields for their details. Each plus-one gets a separate record with a ticket and stays linked to the main guest. You decide how many plus-ones each guest group may bring, and the capacity count includes them.

What happens when an event reaches capacity?

Once the limit for the event or a guest group is reached, registration closes for that group and the waitlist opens. You set capacity limits, registration deadlines and what happens at full capacity per event, guest group or workshop session.
