What is attendee management?

Attendee management is the organization of all guest data and guest-related processes of an event, from the invitation and registration to check-in and post-event reporting. The full definition and related terms are in the event glossary. How to set up the process in practice is shown in the six-step implementation guide. Which software modules AirLST provides for it is summarized in the overview of attendee management features.

FAQ

Event planning resources FAQ

What should an event plan include?

An event plan covers the goal and audience, budget, date and venue, the guest list, invitations and registration, the on-site process (check-in, name badges, seating) and the follow-up with reporting and a survey. In AirLST the guest-related parts of that plan run on one guest record, from the first invitation to the post-event report.

How is attendee management different from event planning?

Event planning covers everything that makes an event happen, from venue and catering to the agenda and speakers. Attendee management is the part that deals with people and their data: who is invited, who registered, who brings a plus-one, who checked in and who did not show up. AirLST is software for that part, see the features overview.

Is a spreadsheet enough to manage a guest list?

For a small event with a fixed guest list, often yes. It gets difficult once several people edit the list, guests register online, plus-ones and quotas come in, or check-in has to work at several entrances. Our comparisons show task by task what works in a spreadsheet and what needs a platform.

Where can I see how other companies run their events with AirLST?

In our customer stories: Zalando, Amazon, Mercedes-Benz and Munich Airport, among others, describe how they handle invitations, registration and check-in. The projects range from 150 attendees to 80,000 attendees at Munich Airport.
