Hold the badge up to the camera and the attendee appears with company, job title and contact details. Quick scan handles rush hours without a form; manual search finds attendees without a badge.

02Qualify

A lead is a contact with a conversation attached.

After the scan, the app shows the attendee and asks: qualify the lead, or save it as a lead only? Qualification happens in one lead form that applies to every role at the event. You build it from field types such as text input, single and multiple choice or checkboxes, check it in the mobile preview and publish it as a version; captured leads keep the version they were captured with.

The limit, stated plainly

The app scans vCard QR codes. Proprietary badge codes from other organizers cannot be read in general; use manual entry, or on request a connection to that organizer’s lead API.

What is lead retrieval?

Lead retrieval is how exhibitors and sponsors capture attendee contact data at an event, usually by scanning the attendee badge, and add notes on the conversation so sales can follow up. The organizer typically provides it as part of the exhibitor package. With ScanMyLeads, the scan opens the attendee profile from the event guest list and leads into a short qualification form.

What is the difference between lead capture and lead retrieval?

Lead capture is the broad term for collecting prospect data anywhere, including web forms. Lead retrieval is the event-specific version: scanning badges at a booth or session and qualifying the contact on the spot. ScanMyLeads covers both sides of an event: the organizer runs it for exhibitors, sponsors and sales, and the Exhibitor Edition gives exhibitors one system across all the shows they attend.

Do exhibitors need to download an app?

No. ScanMyLeads is a web app that runs in the browser on phones and desktops, with no app store and no device management. To sign in, people enter their personal code and receive a sign-in code at the email address on file. The app can be added to the home screen.

Can it scan any trade show badge?

No, and we say so up front. ScanMyLeads reads the QR codes on the badges of your own event: each is a vCard with a unique ID that finds the attendee on the guest list, and the badge generator creates scannable test or replacement badges. Proprietary badge codes from other organizers cannot be read in general. For those shows there is manual search and, on request, a connection to that organizer’s lead API.

Can exhibitors see each other’s leads?

No. Each exhibitor sees only the leads of its own booth, and the separation is enforced on the server, not just hidden in the interface. Account managers see the leads of their own attendees and exhibitors; only the lead owner can edit them, and only admins see all attendees and all leads.

How do leads get into HubSpot or another CRM?

At a time you schedule, for example the end of the event, ScanMyLeads emails the lead list to exhibitor staff, account managers and admins. The export center creates Excel files for all leads or per exhibitor, account manager or session, with the columns your CRM import needs. In the Exhibitor Edition, contacts flow to HubSpot automatically. More connections are on the integrations page.

Can temporary staff scan without seeing attendee data?

Yes. In the "no guest data" privacy mode the scanner shows only green for valid and checked in or red for invalid: no name, no history, no search. Check-ins are still recorded in full and assigned correctly, which suits agency staff at session doors.
