SAP event management for corporate events.Your SAP data in the guest list, event results back in SAP.
For event teams, SAP event management means running corporate events with the people data that lives in SAP. AirLST is event management software that connects to SAP through its REST API: contacts and employees come in as guests, and registrations, attendance and no-shows go back. The SAP integration is delivered as a project, tailored to your system and your data.
| Data | Direction | Status |
|---|---|---|
| Employees | SAP → guests | Connected |
| Departments | SAP → guest groups | Connected |
| Attendance | Event → SAP | Scheduled |

Contacts or employees from SAP straight into the guest list, with no spreadsheet in between.
Registration, attendance and no-shows back to SAP or your BI tool.
Designed around your SAP system; no one-size-fits-all connector.
Event data on servers in Germany, GDPR compliant, TISAX-assessed (the automotive industry’s information security standard).
What an SAP integration with AirLST can cover.
SAP holds the people and the organization; AirLST runs the event. The integration connects both through the REST API, so your event team works on current data and the results land where finance, HR or sales expect them. What exactly is exchanged is defined with you.
- People inContacts or employees as guests, with the fields your invitations and guest groups need.
- Structure inCompany, department or location as guest groups, for example for employee events by region.
- Results outRegistration status, attendance and no-shows back to SAP or a downstream BI tool.
- Systems and interfaces
The SAP integration is a user. It has rights, and it has a log.
The connection to SAP runs with its own key, with only the rights its purpose needs, and every change is recorded in the change log. Guest and event data stays with AirLST in Germany.
- Hosted in GermanyGuest and event data on servers in Germany, including data exchanged with SAP.
- GDPR compliantData processing terms and the deletion policy are in the Trust Center.
- TISAX assessedThe information security assessment standard of the automotive industry, passed by AirLST.
Example. You assign the rights of the SAP connection in the project.
What does SAP event management mean?
The term has two meanings. In SAP itself, SAP Event Management is a component that tracks events in business processes, for example in logistics. For event teams, it usually means something else: running corporate events with data that lives in SAP. That second case is what AirLST covers. SAP holds employees, contacts and the organization; AirLST handles invitations, registration, guest list, check-in and reporting, and the integration keeps both in sync.
SAP stays the system of record for people. AirLST stays the system of record for the event.
How does an SAP integration project run?
- Define the goal. Which data, which direction, which system is in charge: people in, results out.
- Choose the interface. AirLST provides the REST API; the SAP side is agreed with your SAP team.
- Create a key. One key for the SAP connection, with only the rights it needs.
- Map the fields. Which SAP field becomes which guest field or group, and how duplicates are handled.
- Test and go live. A test event first, check the sync and the log, then production.
What does the SAP integration work with?
With the event CRM as the contact base across events, the guest list as the record behind the integration, event reporting for attendance and no-shows, and workflow automation for if-then rules. All routes, from Salesforce and HubSpot connectors to the REST API and MCP, are on the integrations page.
