HubSpot event management.Registrations, RSVPs and check-ins synced to HubSpot.
HubSpot event management works best as a pair: HubSpot keeps your contacts, lists and follow-up, AirLST runs the event itself. The AirLST HubSpot connector takes contacts and lists in as guests, and RSVP, attendance and no-shows go back to the HubSpot contact, ready for your workflows.

HubSpot knows your contacts. AirLST knows who showed up.
A HubSpot list becomes the guest list, with no CSV export in between.
Invitations, registration, capacity, waitlist, check-in and badges in one system.
RSVP, attendance and no-shows land on the HubSpot contact for workflows and sales.
Guest data on servers in Germany, GDPR compliant, TISAX-assessed (the automotive industry’s information security standard).
HubSpot contact in, event result back.
HubSpot stays the system of record for contacts, AirLST for the event. The connector creates HubSpot contacts and lists as guests; invitation, RSVP, attendance and no-show go back to the contact as properties or activities. Marketing and sales keep working in HubSpot, the event team in AirLST, and both see the same person.
- Contacts and listsPick a HubSpot list as the audience; contacts arrive as guests with name, company and email.
- Status backInvited, confirmed, declined, checked in or no-show, written back to the contact.

What HubSpot doesn’t do at the door, AirLST does.
Guest list with capacity, QR code tickets, check-in, name badges: that is the part of the event a marketing CRM isn’t built for. In AirLST your staff scan guests with the check-in app for iOS and Android, badges print on site, and every check-in becomes the attendance that goes back to HubSpot.

Follow up in HubSpot, based on who actually came.
Once attendance is on the contact, your follow-up no longer needs a spreadsheet. Attendees get the thank-you sequence and a task for sales, no-shows get the recording, and declines get the next invitation. The event result becomes part of the contact history in HubSpot and in the AirLST event CRM.
- Attendance and no-showsChecked in or not, per contact, from the check-in app.
- Post-event surveyA questionnaire after the event in AirLST, answers on the guest record.
- ReportingNo-show rates and attendance in event reporting.
- More systemsBI, finance or your website through the REST API, from the Professional plan.
The connector is a user. It has rights, and it has a log.
The HubSpot connector works through the roles and rights of the guest list like any other user, and every change it makes is recorded in the change log. Guest and event data stays with AirLST in Germany; what HubSpot processes on its own side is governed by your contract with HubSpot.
- Hosted in GermanyGuest and event data in AirLST is stored on servers in Germany.
- GDPR compliantThe data processing agreement and GDPR details are on the GDPR compliance page.
- TISAX assessedThe information security assessment standard of the automotive industry, passed by AirLST.
Example. You assign rights per connection and per team member.
One guest record, seen from HubSpot and from the door.
The HubSpot connector reads and writes the same guest your team, the check-in app and reporting work with. That’s why there’s no export going stale and no import creating duplicates.
Can HubSpot be used for event management?
Partly. HubSpot is strong at what happens before and after an event: segmenting contacts, sending campaign emails, running workflows and handing leads to sales. What it isn’t built for is the event itself: a guest list with capacity and waitlist, personalized registration forms, QR code tickets, check-in at the door and name badges. HubSpot event management therefore usually means HubSpot plus an event platform, connected so that contacts flow in and results flow back.
With AirLST, that connection is the HubSpot connector. Your HubSpot list becomes the guest list, AirLST runs invitations, registration and check-in, and RSVP, attendance and no-shows go back to the HubSpot contact. Your HubSpot workflows then start from what really happened at the event, not from a spreadsheet someone uploads a week later.
HubSpot decides who gets invited. AirLST knows who walked through the door.
What runs in HubSpot, what in AirLST?
- HubSpot: contacts and companies, lists and segments, campaign emails and nurturing, workflows, sales handoff.
- AirLST: event invitations, event registration, guest list with capacity and waitlist, QR code tickets, check-in app, badges, event app, post-event survey.
- Both: the contact. HubSpot owns the master data, AirLST adds the event history.
How does the setup work?
- Choose the audience. A HubSpot list or segment becomes the guest list of your event.
- Map the fields. Which contact fields come in, which event status goes back, as a property or an activity.
- Run the event in AirLST. Invitations, registration, reminders, check-in and badges.
- Sync back. RSVP, attendance and no-shows land on the HubSpot contact.
- Follow up in HubSpot. Workflows for attendees, no-shows and declines.
Our Integration Services handle field mapping, testing and go-live. If your company runs Salesforce instead, see Salesforce event management; everything else, from the REST API to MCP for AI assistants, is on the integrations page.
