How to plan a sales kickoff: agenda, travel and attendance
A sales kickoff sets the year for the whole revenue team: targets and strategy on the main stage, training in breakouts, recognition for the best performers and a night that brings every region together. This guide covers the timeline, a sample agenda, travel and hotel, who has to be there, and how to measure the result.
A sales kickoff (SKO) is the internal event that opens the sales year, usually in January or February at the start of the fiscal year. Leadership presents last year's results, this year's targets and strategy; reps and partners train in breakouts and the best performers are recognized. Planning starts in September: venue and room block in the fall, invitations with registration in November, travel and hotel lists in December. Attendance is usually expected rather than optional, so the job is less about collecting RSVPs and more about seeing who is still missing.

Sales kickoff, company kickoff, town hall
| Format | Who | Length | What matters |
|---|---|---|---|
| Sales kickoff | sales, pre-sales, customer success, often partners | 1 to 3 days | targets, training, recognition; confidential numbers |
| Company kickoff | the whole company, several offices | 1 to 2 days | main stage, team sessions, an evening for everyone |
| National sales meeting | field sales across the country | 1 to 2 days | travel from every territory, regional breakouts |
| Town hall / all hands | all employees, in person and remote | 1 to 2 hours | questions for leadership, streaming for remote teams |
Timeline: working back from January
| When | What |
|---|---|
| September | goals, format, budget and date; request venue and hotel room block |
| October | book venue and room block; confirm the attendee list from HR; save the date |
| November | invitation with registration: sessions, travel, hotel needs, dietary needs |
| Early December | registration deadline; rooming list to the hotel, ground transportation; managers follow up on missing reps |
| January, 2 weeks out | agenda and rooms in the event app, seating for the awards dinner, badges |
| Event days | badge check-in, attendance per session, room changes by push notification |
| After | survey, attendance by team, slides and recordings to attendees |
These are rules of thumb for kickoffs from about 150 attendees. Hotel blocks in convention cities fill early for January and February; secure the block together with the venue.
Sample sales kickoff agenda
- 01Day 1 morning: main stage
Results of last year, targets and strategy for this year, product roadmap. Short sessions, with questions collected in advance.
- 02Day 1 afternoon: breakouts
By segment, region or role. Who attends which breakout is part of the registration, so room sizes fit.
- 03Day 2: skills and product training
Discovery, negotiation, competitive positioning, new products. Track attendance where certifications depend on it.
- 04Partner track
A separate track for partners with its own sessions and its own access to materials.
- 05Recognition dinner
Top performers on stage, seating by team and rank, then the party. For many reps the most important part of the kickoff.
Attendees and RSVPs: who has to be there
- Start from HR data: every attendee with team, region, role and manager, instead of a spreadsheet that is outdated the day invitations go out.
- Groups, not exceptions: main stage for everyone, breakouts by team, a partner track, perhaps a leadership session. Each group sees only what applies to them at registration.
- Reminders in stages: automatic reminders to everyone without a reply, then a view per team for managers.
- Confidentiality: quotas, territories and comp plans do not belong on an open registration page. Access by personal link only, roles for the organizing team, data hosted in Germany for international companies with EU employees.
Travel and hotel for reps from every territory
| Question | Used for |
|---|---|
| Mode of travel (flight, train, car) and times | airport and station shuttles |
| Flight or train number | pickups when flights are delayed |
| Hotel needed, check-in and check-out date | rooming list for the room block |
| Room type | single or double |
| Dietary and accessibility needs | catering, routes, seating |
From these answers come the rooming list for each hotel, the shuttle schedule and the catering numbers. When someone changes a flight, all three change, without anyone reconciling lists.
Measuring the kickoff
Leadership will ask whether the kickoff worked. Send a short survey the day after, anonymous if you want honest answers, with a Net Promoter Score question and two or three questions on content and logistics. Combine it with attendance per session and breakout. Ask the same questions every year and you can compare kickoffs over time.
Sales kickoff checklist
One kickoff, every territory, one list.
In AirLST the attendee list comes from your HR system. Invitations, registration with sessions, travel and hotel, reminders, seating and check-in all run on the same guest list, and the survey afterwards shows how the kickoff landed.
- Attendee list from your HR system with team and location
- Registration with session rounds, travel data and hotel
- Hotel management with room blocks and room types
- Seating by rank, event app with push, anonymous survey
Sales kickoff FAQ
What is a sales kickoff?
An internal event at the start of the sales year, often one to three days, where leadership presents results, targets and strategy, reps train on products and skills, and top performers are recognized. Many companies run it in January or February, at the start of the fiscal year.
When should you start planning a sales kickoff?
Around four to five months ahead: date, venue and room block in September or October, invitations with registration in November, final travel and hotel lists in December. Popular venues and hotel blocks for January and February go early.
What goes on a sales kickoff agenda?
A main-stage opening with results and targets, product and strategy sessions, breakouts by segment or region, skills training, a partner track if partners attend, and a recognition dinner or awards night. Keep the main stage short and give most of the time to breakouts.
How do you track attendance at a sales kickoff?
Register every attendee with team, region and manager, send reminders to anyone who has not replied, give managers a view of who is missing, and check people in with a badge scan at each session when certifications depend on attendance.
How do you measure the success of a sales kickoff?
With a short survey right after the event, anonymous if you want honest answers, using a scale such as Net Promoter Score, plus attendance per session. Ask the same questions every year to compare.
