As a software provider and service provider in the field of attendee management, we constantly need to reflect on what we are actually working on. What do we mean by attendee management? What steps are involved? What do our customers understand by it, and what do they expect from us?

We want our tool to support, help, and truly simplify a complex work process. That's why we actively exchange ideas with event planners and event managers about what AirLST needs to offer to manage guest lists constructively and efficiently. A fundamental prerequisite for this is a common definition of attendee management. Let's start with the following basic definition:

Attendee management is defined as the process that encompasses all tasks related to participants and guests of an event.

Depending on the event format, it is also referred to as guest management. Other terms for this process include: Guest List Management or Invitation Management.

This multitude of naming options already shows that we need to further refine the basic definition for a common starting point. Because who is actually being managed here?
AirLST uses the term "event attendees" because it includes guests, visitors, speakers, artists, etc.

It's also already evident that attendee management means much more than just sending invitations and checking off all guests on a list on the day of the event. The specific processes involved in attendee management and its connections to other areas often remain unclear at first.

Events thrive on and for their attendees. They are the central focus around which the program, design, catering, and location are coordinated:

  • Who will be invited?
  • How large must the room be?
  • Which speakers, live acts, or presenters will be booked?
  • Where will attendees be accommodated?
  • Do room blocks need to be organized for accommodation?
  • How will travel be organized?
  • Do dietary restrictions or eating habits need to be considered? 

These questions reflect the interconnections between attendee management and other areas of event planning, demonstrating: Attendee management is a complex process that involves the entire planning team.

Before, during, and after an event, various to dos arise that concern the attendees and guests of an event. Beyond all tasks related to event execution, smooth coordination and management of all attendees is therefore essential for a successful event.

The more complex an event's program structure, the greater the challenge for attendee management. The collected registration data provides the basis for further organizational decisions.
For example, the number of attendees impacts other areas of event planning. Fire safety regulations, for instance, do not differentiate between invited guests, the event team, and those presenting to the audience. This, in turn, affects the choice of a suitable venue. Or, if many vegetarians have registered, for example, that influences the choice of caterer.

If you're primarily inviting business customers, you should ask if the billing address is different so that the employer's finance department receives a correct invoice.
The collected guest data also allows for early planning of visitor flow, security concepts, and staffing for visitor support.

Therefore, participant management is extremely closely linked to other sub-areas of event management and spans the entire event planning process.
