The lockdown to contain the Corona pandemic has significantly impacted the event industry. Under what conditions can events take place again in the near future? This is the pressing question currently occupying event organizers. The industry association FAMAB, together with the Research Institute for Exhibition and Live-Communication Berlin (R.I.F.E.L.), has presented a position paper outlining a multi-stage plan with recommendations for conducting safe events in the context of Covid-19.
Digital guest management will play an essential role in this, as the collection of all attending guests and their contact details will be a prerequisite for the low-risk execution of events.
Extensive hygiene concepts and precise documentation of all participants are central to the proposed measures. Ideally, all attendees will be tested for Covid-19 beforehand. Since it will still take some time until rapid tests are available in large quantities, maintaining minimum distance and adhering to known hygiene regulations have the highest priority.
To quickly interrupt potential infection chains, a tamper-proof and accurate participant list is central. In contrast to large-scale events and gatherings where people come into close physical contact, manageable corporate events, in particular, could soon be possible again under specific requirements and controlled conditions.
AirLST specializes in simple and secure participant registration. Corporate compliance programs have long required routine and accurate documentation of all event participants. In view of these customer requirements, AirLST has therefore developed a routine and proven system for secure, automated data collection. This now also benefits organizers and authorities, enabling them to track participants and inform them quickly in the event of an infection. With AirLST's digital attendee management, automated collection of all relevant data is secured even before the event. Once the invitation list has been finalized, registration secures all RSVPs (acceptances and rejections) for the invitation in the guest list. If a guest wishes to send a representative because they cannot attend themselves, their data is also collected. On the day of the event, each guest is checked in via QR code scan. Thanks to real-time synchronization, the data is always up-to-date on all devices. A changelog protocol records all changes to the guest list and guest data, ensuring that tampering with the list is impossible.
With AirLST, organizers and guests are always in contact with each other, so that new developments can be communicated promptly. The AirLST system is so flexible that data queries can be adjusted at any time, and new regulations can thus be taken into account even at short notice.
Once again, digital attendee management assists with the coordinated and tamper-proof collection of guest data before, during, and after the event.
