AirLST at BOE: Efficient, digital participant management

AIRLST's trade fair report from the Best of Events

As a provider for digital participant management Are we, of course, in January at Best of Events in Dortmund. In 2020, the main topic is also technology. With our solution for digital guest management, invitation, admission and check-in management, we are in the right place.

For AirLST, that means every year: Road Trip — 600 km on the motorway. But the streets are empty when we set off to set up on Tuesday, so we arrive relaxed at the exhibition center and can immediately plunge into the hustle and bustle of Hall 7. Our stand (D52) has received a new, fresh design, which colleagues from Party Rent We have already delivered our furniture. We only have to sort out small things and can install our technology and the Print Station for printing name tags on site. This year is Karli Karlsson, the photo bus our neighbor, a mint green T2 — converted into a mobile photo box — a real eye-catcher. The neighbors of Chariot Event are old acquaintances, they provide us with coffee and chocolate and are looking forward to two intensive days at the fair.

This is followed by two days of Best of Events, lots of talks, exciting discussions and lectures on the stages of the individual halls and at our stand. According to official figures, 11,000 visitors came to find out about the latest Trends and developments in the event industry to inform.

Especially on the first day, there is a lot going on and we are registering: digital participant management is required. And what is being discussed in the forums?

On Wednesday, we will attend various lectures and talks in Forum 6 on the topic Future Meetings & Events, For example, the Pecha Kucha lecture by Dr. Christina Buttler with the title: Success factors for events — How do we meet the expectations of participants? The answers: We should know our target groups exactly, story telling is still the strategy, but creating unexpected situations and dynamics is also at the top of the list. Dr. Buttler appeals: Trust your participants! And then don't leave them alone, but provide orientation and guidance. The subsequent Panel Discussion With Dr. Buttler, Stefan Kirchner and Rainer König, this is exactly what follows.

  • How do we overcome the fear of innovation?
  • What can event planners trust their participants to do?

Far too often, the sentence would be used: “I can't do that with my participants.” Will the problem resolve itself at some point because future generations are more familiar with innovative formats and the use of technologies? Helping new technologies Even making events more participatory?

Dr. Christina Buttler, Stefan Kirchner and Rainer König have a controversial discussion, but agree on the point that innovation should be accompanied by careful moderation. Experience shows that when participants are not left alone and confronted with overwhelming challenges, but are introduced to innovations, they are accepted.

At the end of the discussion, the panelists will have questions for the audience and will also take the opportunity to present the live voting tool from SwarmWorks. The panelists are asking whether, according to audience opinion, more and more events are taking place both online and offline? The audience holds up trowels with mirror pads, which are captured by red light cameras. It can thus be stated that 85% of the audience present agree with this question. Another question was: Are events becoming more participatory and are these formats replacing traditional lecture events? 69% of the audience agreed. The audience was not so unanimous on the question of whether virtual reality and holograms will conquer the conference rooms. 50% agree, 42.9% disagree and 7.1% say they do not know.

Overall, an exciting discussion in which important questions were asked and which showed that event planners must remain in active and continuous communication with their participants.

We are already looking forward to the coming year: The BOE 2021 will take place on January 20 and 21.
